Why does a restaurant management and booking system need
to be a costly, complicated back-room
PC application? It doesn’t - it can be an intuitive and visual system that
any staff member can easily use and at the same time be an impressive customer
facing tool. We’ve built VirtuaBook with the user in mind, whether that be
a professional matradee or part-time waiting staff, anyone can easily greet
new customers knowing current availability and future reservations for
any table or room with the swipe of a finger.
Let the customer choose...
If you decide to make the leap to taking online reservations on your website,
then VirtuaBook can easily be installed in a matter of minutes. You‘ll
have three choices of booking systems, the first is "Quick Book” which
will allow the customer to view a 3D representation of chosen areas in your
restaurant and select a date and time to make a booking on any available
table of their choice. The second option is called “Simple Book”,
a more standard approach to booking a table, asking the user to complete
a simple form, choosing the date, time and party size to automatically be
allocated a table in a preference order of your choice. The third option
is the same as SimpleBook without the customisation options, the booking
engine will pop-over your website and close again after the booking process
has been completed. We
do not charge you any extra for bookings made online via your website, all
costs are included within your monthly subscription fee.

Configuration settings
- Staff access levels - restrict specific features from staff within your VirtuaBook system if you choose
- Opening Hours and Break Times - 7 days with up to 3 break points for session management or online booking restrictions
- Table turnover times - duration settings for different table / party
sizes.
- Pre-booking times - duration in hours, before a booking can be created online
- System Wallpaper - brand logo or
picture behind your VirtuaBook system - use one of ours, or upload an image of your own
- Online booking interface - Easy to install SimpleBook and QuickBook HTML code for your
online booking interface
- Chalkboard - A very useful, visual tool for displaying
menu specials or promotional details
- Save CSV - Auto-save a CSV file to your computer (not
iPad currently) containing booking data for each room whenever updated,
useful for both analysing data and if there is a internet connection problem
at your establishment
Constructing Rooms
- Your restaurant - Create multiple rooms / areas (maximum
of 14)
- Tables - Unlimited tables with various table sizes and
orientations from 2 seaters to 14 seaters, all tables are linkable for
both automated and manual bookings to cater for large paties / unusual
party sizes.
- Naming - Apply unique table names or numbers to each table
- Booking Priority - Table booking order priority settings:
high, medium and low for prioritisng tables within automated bookings
- Overflow Setting - set another table to automatically
extend large party bookings onto when using SimpleBook or the home screen
Bookings
- Duration - Create a booking with the correct duration
for the table size automatically applied
- Data - Capture customer Name, Email and Phone number for marketing and
alerts
- Communicate - send Email and SMS messages direct from the diary
- Overview - Quickly view all bookings for the current day and mark them
as they arrive
- Search - Search for a customer by name within a
specified time period
- Multi-table Bookings - Link and un-link tables together
for bookings of varying sizes to match your table availability
- No Show - receive no-show customer data instantly via
email for follow up / reference
- Break Times - can be set to either manage sessions or to fine tune your online availability,
restricting online bookings during busy periods, or promoting availability during quiet periods.
- End Now - end a customer booking as they leave, instantly updating the current table availability
- Cut and Paste - Quickly move a booking from one table to another
- Home Screen Bookings - Quickly make a booking with automated
table and room allocation plus suggested alternative booking times if the
requested time is unavailable
- Calendar Booking (V2.0) - Create a new booking directly
within the calendar system. Choose the number of covers and select the
entire restaurant or a specific room before being presented with the tables
available for the cover size and time.
Home Screen tools
- View Reservations - View reservations for the current
day, mark them as arrived and auto-seat them using the 3D room plan
- Customer Waiting List - Add customers to the waiting
list during busy periods. Allocate an estimated delay time and receive visual
updates by time and colour key for customers who are close to, or over their
predicted delay time. Easily transfer their details to a table to confirm
their booking.
Diary
- Availability - Quickly move through time and see instant table availability
- Overview - Switch between multiple rooms or areas
- Calendar - change day, month and year for any room, instantly.
- Advanced - view an overview of all daily bookings for
a room in one place
- Status - set a room to open, closed or private for parties or functions
Online bookings
- SimpleBook - install a simple, customisable booking engine into your
website

before and after the customers chosen booking time if there is restricted availability

booking window in front of your website

Unlike other systems there are no online booking charges to pay.
All online bookings from your website are included within your monthly subscription.
Calendar System (V2.0)
- Month Overview - View the number of covers and bookings
by day over any given month. Data is broken down into in-house bookings,
online bookings and unconfirmed online bookings.
- Day View - View any gven by by restaurant or by specific
room. Drill-down by hour and 15 minute interval to review all bookings
for that time period.
- Edit Booking - Edit or review any booking details with access to email
and SMS messaging functions and Live Diary view.
- Calendar Booking - Create a new booking directly within
the calendar system. Choose the number of covers and select the entire
restaurant or a specific room before being presented with the tables available
for the cover size and time.
- Seat Waiting Party - After activating the SEAT PARTY function on the
home screen, there is an option to seat the party as a new booking within
the day view system.
Marketing Tools
- Email - email alerts directly to your customers from their booking details withhin your Live Diary
- Broadcast - send email campaigns to your customers based
upon the date of their last visit
- Text - send SMS alerts to your customers from their
booking details
- Data - Export booking data in CSV format
- Create - use our online templates, HTML and image editor to create your own email alert and campaign designs
Reporting Tools
- Covers - view pre-booked covers by current day, next day, the next week
and the next month
- History - View total covers for the previous week and
month.
- Export - Export booking to view or in CSV format for
any specified date
- Reporting Data - advanced reporting will soon be available that can analyse covers per table, table utilisation, covers per room, walk-ins vs online bookings and no shows - if you would like any other reports created, please let us know and we will consider them for our next upgrade.
- Calendar View - view real-time statistics by month, by day, by hour or
by 15 minute interval. View room or restaurant availability by booking
start time or by duration with useful graphs indicating the percentage
of covers / tables for any specific time.
- Auto CSV Export - optional switch within the administration
area to download a CSV file containing booking data by room. File is named
by room and date and is updated whenever the room is viewed within VirtuaBook
for any specific day. The files are stored within the VirtuaBook applcation
folder and can be imported directly into any spreadsheet application.

Before you get going...
Before you can download and install the VirtuaBook system you will need
either:
- A PC with Windows XP or higher with at least 1GB of free Ram, a dual
core processor or equivalent recommended)
and a screen size with a resolution
of 1024x678 or higher. If you have a touch screen system, you can utilise
the
touch screen keyboard within VirtuaBook.
- An Apple Mac with OSX 10.4 or higher, preferably with a G5 processor
or higher.
- An iPad running OS4.2 or higher.
